If you’re buying for a multi-academy trust, a federation, or a group of schools, we’ll put together a single agreement across your schools rather than pricing each one on its own. One invoice, one renewal date, one point of contact.
How much does Equipple cost?

£3 per pupil per year, plus £200 per school per year. That's it — one platform, one price, full-year access for unlimited staff users.

Is there a minimum charge?

Yes. We price on a minimum of 100 pupils, so £500 a year is the smallest bill we do.

Do those prices include VAT?

No, all prices exclude VAT.

Do I have to talk to sales to get a price?

No. Click 'Build your quote' and enter your pupil count and you'll have an exact quote, down to the penny, before you speak to anybody.

Are there tiers or add-on modules?

No tiers. Your price includes unlimited meetings, unlimited staff accounts, all meeting formats (in person, phone and online), and all the key info together — attendance, SEND, assessment data and notes.

Is there a free trial?

Yes — 30 days, no obligation. You can invite up to 5 staff members and you'll get a virtual onboarding consultation.

How is my pupil count worked out?

Use your current roll. If it's under 100, you'll be billed at 100. Once your data syncs, we will contact you if there is a discrepancy with the real full-school pupil count.

We're a trust or federation. How does that work?

We'll put together a single agreement across your schools rather than pricing each one separately — one invoice, one renewal date, one point of contact. Talk to us and we'll shape it around your needs. We also offer multi-school / MAT discounts. 

Can you train our staff in person?

Yes. Expert-led, in-person training is £500 per session across the UK and Ireland, with as many staff as you like. Remote delivery is available where travel costs would be prohibitive.

Is my school's data safe with Equipple?

Yes. Equipple is ISO 27001 certified and Cyber Essentials assured.

How long is the contract?

Your first term runs 12 months from the date you sign up. It then renews automatically for successive 12-month periods unless either side gives written notice at least 30 days before the end of the current term. (Contact us about discounts for multi-year contracts).

How do we cancel our subscription?

Just give us written notice no later than 30 days before your term ends. We'll also remind you the renewal is coming, and flag any change to your fees, at least 60 days out. Fees already paid for a subscription aren't refundable.

How do we pay?

Either by card, by bank transfer or on a school purchase order. Provide us with your PO details and we'll invoice you, payable within 30 days.

If we sign up mid-year, do we pay pro-rata?

Your 12 months start the day you sign up and run a full year from there, so you get the whole year whenever you join.

What happens if our pupil numbers grow during the year?

You can add pupils any time. If your roll grows significantly beyond the number in your contract, we'll write to you, invoice the extra pro-rata from the date of the increase, and it's payable within 30 days.

Which MIS platforms do you work with?

We integrate through Wonde, so if Wonde supports your MIS, we support it.

Do you work with schools outside the UK and Ireland?

Yes. We work with schools anywhere — connecting through Wonde or Clever depending on your MIS / SIS system and location. If you have any questions, contact us. We'll be happy to discuss this with you in more detail.
