About Equipple

Equipple is a Northern Ireland-based EdTech company. We build parent engagement and school communications software used by schools and multi-academy trusts across the UK and Ireland. We equip teachers to spot what matters, act with speed, and communicate with confidence.

We're a small, fast-moving team at an exciting stage of growth, with a growing customer base and investment behind us.

As we scale, we need someone to take ownership of the day-to-day running of the business — the operational, financial, administrative and compliance work that keeps everything moving — so the rest of the team can stay focused on product, customers and growth.

The role

This is a broad, hands-on business operations role, and the first of its kind here. You'll be the person who makes sure the business runs properly behind the scenes: our finances and billing, our contracts and suppliers, our compliance and policies, our HR administration, our systems and records, and the office itself.

It suits someone who thrives on variety, is happy owning a task from start to finish without being chased, and enjoys turning one-off jobs into repeatable, well-documented processes. You'll inherit some things that already work, some that half work, and some that don't exist yet. Shaping all three is the job.

You're the operational point of contact for the business. That means real autonomy, and it means we need someone whose judgement we can trust.

What you'll own

Not day-one expertise — the shape of the role over its first year.

Finance and billing

  • Monthly accounts and accountant liaison
  • Customer invoicing and credit control
  • Supplier bills, card reconciliation, staff expenses
  • Discount and referral codes
  • Billing and financial reporting

Compliance and data protection

  • Cyber Essentials and ISO 27001 renewals
  • Policy library and staff handbook
  • NDAs and ICO registration
  • Processing records, sub-processors and school data agreements

Contracts and company administration

  • Contract tracking and renewal flags
  • Vendor, licence and insurance renewals
  • Companies House filings and PSC records
  • Board and investor meeting logistics
  • First-pass grant applications

People and HR administration

  • Onboarding: accounts, equipment, access
  • Contracts, offer letters, right-to-work checks
  • Payroll and pension administration
  • Leave, absence and return-to-work records

Systems and records

  • The SharePoint document library
  • CRM data cleansing
  • Microsoft 365 licences

Office, facilities and health and safety

  • The office day to day
  • Health and safety administration
  • Room and meeting booking

Customer and website support

  • Live chat and enquiry triage
  • Website updates and blog publishing

Marketing, events and procurement

  • Print and collateral ordering
  • Event logistics

Where the buck stops: our accountant owns the VAT returns, our Data Protection Officer owns data protection accountability, and the founders sign off every grant application. You run the process and keep the records.

What we're looking for

Nobody has deep expertise in every area above. We're looking for a highly capable, organised all-rounder with the right temperament, who can pick up unfamiliar tools quickly and make them their own.

Essential

What you'll need from day one

  • Exceptionally organised and reliable. You own tasks end to end, keep several things moving at once, and don't need chasing.
  • Comfortable with variety. Genuinely energised by a broad, mixed workload rather than frustrated by it.
  • A systems-and-process mindset. Confident learning new software, and turning ad-hoc jobs into repeatable, documented processes.
  • Discretion and confidentiality. You'll handle staff records, financial data, contracts and school data. We need someone we can trust completely.
  • Sound financial literacy. Comfortable with numbers, billing and reporting, and accurate with detail.
  • Strong written English. Clear, professional writing for live chat, suppliers, stakeholders and website copy.
  • Microsoft 365 proficiency. Confident working across the suite day to day.
  • Relevant experience, ideally as an operations coordinator or manager, office or practice manager, or business support lead in a small business or startup.

Desirable

Useful, but we'll teach it

  • HR or payroll administration experience, or a CIPD qualification at any level.
  • Bookkeeping or credit control experience.
  • Familiarity with any of our tools — Chargebee, Xero, SharePoint administration, HubSpot or a similar CRM.
  • Exposure to certifications such as Cyber Essentials or ISO 27001, or to grant and funding applications.
  • Experience in SaaS, EdTech, or another B2B or regulated environment.

Working here

33 days

Paid annual leave including public holidays and our Christmas closedown — comfortably above the statutory minimum. Our holiday year runs 1 September to 31 August.

40 hours

Permanent and full time, 9.00am to 5.30pm Monday to Friday, with flexibility on start and finish times by agreement.

3 days in office

Hybrid working from our Titanic Quarter base, with a minimum of three days a week in the office.

Pension

Company pension scheme, with auto-enrolment handled from day one.

Training

Induction and role-relevant training, including any certification or software training the role calls for.

Bonus

A discretionary bonus after successful completion of your six-month probationary period.

One thing worth knowing: our year follows the school year. August to October and January to April are our busiest periods, so we ask for as much notice as possible on leave during those months.
